Less time on insurance. More of what you billed, paid.
Most practices come to us with the same problems: sessions denied weeks later, authorizations that lapsed, and a pile of claims no one has time to chase.
Get a free claims reviewAuthorizations never lapse quietly
We track every approved visit count and expiry date, and ask for more before they run out.
Claims that pass the first time
Session length, telehealth rules and each payer’s quirks are checked before a claim goes out.
Every denial worked
Each denial is traced to its cause, then corrected or appealed before the deadline. Nothing ages out.
One clear monthly report
What was billed, what was paid, what is still out, and what we are doing about it.
Everything between the session and the deposit
One team handles the whole cycle, so nothing falls between people.
Eligibility and benefits
Behavioral health benefits, copays, session limits and carve-outs to Optum, Carelon or Magellan, checked before the first session.
Authorization tracking
Approved visit counts and expiry dates tracked per client, with extensions requested before they run out.
Clean claim submission
The right session code, add-ons, place of service and telehealth rules on every claim.
Payment posting
Every ERA posted and every underpayment flagged, so you know what each payer really pays per session.
Denials and appeals
Every denial corrected, or appealed with the documentation the payer needs.
Credentialing and CAQH
Panel applications, CAQH re-attestation and re-credentialing for every clinician in your group.
Four causes behind most therapy denials
Fix the cause, and the same denial stops coming back.
Authorizations that run out
Some plans require an authorization after a set number of sessions. Sessions past that number, or after the auth expires, are denied even though the client was seen in good faith.
Telehealth billed the wrong way
Payers disagree on the place of service and modifier for telehealth. A claim built for one payer can be rejected by the next.
Claims sent to the wrong company
Mental health benefits are often managed by a different company than the medical plan. Claims sent to the medical plan come back unpaid.
Long sessions under review
60-minute sessions and frequent visits draw more scrutiny. Notes need to support the time and the treatment plan, or the payer downcodes or denies.
Two more ways we take work off your plate
Growing therapy practices hit the same two walls: new clinicians waiting on insurance panels, and a front desk that can’t keep up with intake.
New clinician? We get them on panels.
Every week a new clinician waits on credentialing is a week of sessions you can’t bill in-network. We handle it from start to finish.
- CAQH profile set up and kept current
- Applications to the panels that are open in your area
- Follow-up with every payer every two weeks
Front desk overloaded?
A HIPAA-trained assistant answers intake calls, books sessions and checks insurance before the first appointment, inside your systems.
- Intake calls and new client scheduling
- Benefits and authorization checks before the first session
- Reminders, rescheduling and waitlist fills
Therapy isn’t billed like a medical office. We bill it like therapy.
Codes are based on session time, psychiatry uses add-on codes alongside medication visits, and many plans route behavioral health through a separate company. We work inside your EHR, including SimplePractice, and bill around these rules every day.
Whether you’re a solo LCSW, a psychologist, or a group with a dozen clinicians on different panels, you get one point of contact who knows your payers.
- In-network and out-of-networkClaims to the plan, or superbills and courtesy billing where you offer it.
- Telehealth billed rightPlace of service and modifiers matched to each payer’s rules.
- Authorizations trackedVisit limits and expiry dates watched for every client.

Can you bill for therapists who use SimplePractice?
Yes. We work directly inside SimplePractice’s billing tools, and the same goes for most other therapy EHRs. You don’t need to change software.
Do you handle both in-network and out-of-network clients?
Yes. For in-network clients we bill the plan directly. For out-of-network clients we can prepare superbills and help with courtesy billing where you offer it.
What does 90837 vs 90834 actually depend on?
Time. 90834 covers 38 to 52 minutes of psychotherapy and 90837 covers 53 minutes or more. Your notes need to show start and stop times so the code holds up if the payer reviews it.
Can you help a new therapist get on insurance panels?
Yes. Our credentialing service handles CAQH setup, payer applications and follow-up until you’re in-network. Most panels take 60 to 120 days, and some are closed in certain areas, so we’ll tell you which ones are realistic.
How do you handle our clients’ privacy?
Everything happens under a signed Business Associate Agreement, inside your own systems, by HIPAA-trained staff. We never store client data on personal devices.
